Celebrity Cruises UK is looking for an Event Executive to join the team in Weybridge, UK office. Please note that we are only able to consider candidates based in the UK with full right to work.

Position Summary:

This role is responsible for supporting the end-to-end event management and implementation of key event activities for Celebrity Cruises across the EMEA region. There is a wide variety of events with key focus on award ceremonies, internal conferences, ship launches, ship immersion programmes, along with other ad hoc events. The role is responsible for the planning, event management, creative development, budget management and evaluation of events and is a high-profile role within the business.

The role requires an innovative individual who can bring new ideas to the company that can raise both brand awareness and achieve revenue targets by delivering the required return on investment.

 

Essential Duties and Responsibilities:

 

 

Planning

  • Coordinate and plan for the 85+ ship visits across the UK & Ireland and EMEA Region (approx. 11 regions/countries) for our Sales, Brand, Consumer and internal teams.
  • Build & maintain good relationships with suppliers to stay ahead of event trends and ensure high standard events are delivered.
  • Input into the Celebrity Cruises Events Planner.

 

Execution

Ship Visits & Seminars:

  • Responsible for gathering the data of ship visit guests and submitting manifests, working alongside the Chief Security Officers onboard.
  • Responsible for suppling the shipboard team with a full detailed onboard event plan and Food & Beverage information.
  • Arrange all branded collateral requirements, working closely with the Brand Marketing & Trade Marketing Team. 
  • Co-ordinate internal resource and communication of all ship visits.  
  • Work with the Promo Team to support across the ship visit program, including schedules, communications and travel requirements.
  • Ensure the necessary travel is organised and booked for attendees
  • Manage the administration of the UK&I and EMEA Ship Visit inboxes, including key communication to internal team members, external guests and trade partners in the lead up and post ship visits, including invitations, final details and post ship visit survey.
  • Ensure new team members join a ship visit as part of their induction to experience the brand and organise internal events onboard.
  • Key contact for ship visits and seminars, including out of hours support when required.
  • Attending and coordinating ship visits onboard as required.

 

Events

  • Support on the planning of 100+ UK & Ireland EMEA events (External and internal).
  • This will include venue site visits, guest communications, catering needs, budget management and training plans.  
  • Source, contract and organise venues for external meetings and training sessions where required.  
  • Support with the co-ordination of the various trade award ceremonies, conferences, CLIA industry events, cruise shows & internal RCG events.
  • Monitor the Events team email inbox addressing initial inquiries and ensuring regular follow-ups through to completion.
  • Support with our internal team event days and internal product launches.
  • Organise the delivery of all branded collateral requirements, working closely with the Brand Marketing & Trade Marketing Team. 
  • Support with pre-event planning, kit requirements, delegate packs and all required collateral
  • Ensure the necessary travel is organised and booked for attendees.


Financial responsibilities:  

  • Report on all key learnings for each individual ship visit, event and activity undertaken.
  • Process event invoices and set up new suppliers in a timely fashion in co-ordination with company policy

  • Creativity – has an eye for design.
  • Flexible working hours and travel (including overseas working when required)
  • Excellent attention to detail and accuracy
  • Event management systems – experience in e-registration systems such as salesforce

 

  • Flexible working hours and travel
  • 2+ years’ experience as an established Events Executive (or similar level role) within a high-pressured or fast-paced environment
  • Large matrix organisation experience preferable
  • Previous experience in travel industry would be beneficial but not essential.
