Position Summary
The Senior Analyst, Operations provides comprehensive administrative and operational leadership for the Celebrity River Cruises Bermuda office. This role serves as the central hub for office operations, overseeing travel coordination, onboarding and offboarding, budgeting, records governance, and ensuring regulatory compliance and brand integrity. The position requires strong organizational skills, cross-functional collaboration, and the ability to balance tactical execution with strategic initiatives to support a growing river cruise business.
Essential Duties and Responsibilities
- Coordinates and prepares all logistical, administrative, and material requirements for Board of Directors meetings, including agendas, meeting materials, travel arrangements, and on-site support.
- Develops presentations and briefing materials for senior leadership, ensuring clarity and brand alignment.
- Provides comprehensive administrative and operational support to the Bermuda office, acting as the primary point of contact for visitors, callers, and internal stakeholders.
- Manages reception, mail, couriers, deliveries, and coordinates calendars and meeting logistics.
- Supports workplace solutions, including space planning, maintenance coordination, safety compliance, security access, and vendor management for facilities services.
- Leads procurement and vendor management, including purchase orders, invoice processing, and maintaining vendor relationships.
- Coordinates travel arrangements for executives and staff, ensuring policy compliance and efficient itinerary management.
- Supports onboarding and offboarding processes, collaborating with HR and IT to ensure seamless transitions and proper records management.
- Manages office budgeting and financial administration, including budget tracking, expense reporting, and cost control.
- Ensures records management and data governance, maintaining compliance with regulatory requirements and company policies.
- Plans and executes meetings, offsites, and stakeholder events, overseeing logistics, catering, and communications.
Education, Qualifications, Knowledge and Skills
- Bachelor’s degree in Business Administration or a related field required.
- Minimum 5 years of office and facilities operations management experience, preferably in hospitality, shipping, or international business.
- Significant experience supporting the operations of a Bermuda-based Board of Directors.
- Proven experience in regulatory compliance, vendor management, procurement, budgeting, and financial controls.
- Proficiency with standard office software and facilities or HRIS/ERP systems.
- Strong focus on data privacy, records management, and working in a multi-cultural environment.
- Excellent cross-functional collaboration and communication skills.
- Strong organizational and project management abilities.
- Demonstrated ability to partner with HR, IT, Legal, and Operations.
- High level of integrity, professionalism, and attention to detail.
- Ability to manage multiple priorities and deliver results in a dynamic environment.
- Strong interpersonal skills and a proactive, solution-oriented mindset.
