Intern, Administrational Coordinator (remote)

Remote internship until the end of 2025, starting as soon as possible

 

Position Summary:                

The Intern, Administrative Coordinator will support the development of a comprehensive Quality Manual that reflects the work conducted on RCG newbuildings on site. The role focuses on compiling, structuring, and maintaining information gathered from interviews with project experts and managers, as well as existing instructions, checklists, processes, and guidelines. The position is primarily remote, with the benefit of being able to join selected meetings in person in Turku (Finland) and on sites in France.


Essential Duties and Responsibilities:

  • Compile and consolidate existing processes, guidelines, instructions, and checklists relevant to RCG newbuildings.
  • Organize and structure information collected through interviews with project experts and managers to capture current best practices.
  • Establish and maintain revision control, including versioning, change logs, and document administration for the Quality Manual and related materials.
  • Prepare clear, well-structured documentation—such as templates, tables of contents, and cross-references—to support ease of use and future updates.
  • Participate in scheduled interviews (via Microsoft Teams and on-site), track inputs, and follow up on outstanding items to meet delivery timelines.

Qualifications:

  • Ability to work independently, manage priorities, and follow a delivery schedule.
  • Strong written English skills with attention to clarity, consistency, and detail.
  • Basic knowledge of Microsoft 365 (Word, Excel, Teams; SharePoint experience is a plus).
  • Experience in administrative coordination and/or technical documentation is an advantage.

 

Knowledge and Skills:

  • Information organization skills: structuring content, applying common naming conventions, and maintaining traceability.
  • Interview support and note-taking; ability to synthesize input into concise, usable documentation.
  • Document control and revision management practices; familiarity with simple versioning workflows.
  • Professional communication and collaboration across multicultural, cross-functional teams.

 


Physical Demands:

Primarily desk-based work performed remotely. Occasional participation in in-person meetings or site visits in Turku (Finland) and France may be beneficial to project outcomes.
