Position Summary:

The EU Operations Program Lead, Leadership Team Administration is a trusted counsel, strategic partner and acts a key advisor to our Leadership Team, One Team, in Europe.  In Europe, EU Operations Program Lead play a pivotal role in driving global departmental success, with an increased focus towards Europe Newbuild operational strategies. Coordinating EU Leadership calendars to securing directing strategic initiatives and ensuring operational tactical departmental needs to be part of the overall coordination is organizational prowess will be crucial. Employee is detail-oriented, self-motivated individual with exceptional communication skills to prioritize projects, offer strategic insights, and foster collaboration across our global team. Key aspects is to own and understand strategic Leadership culture, proactive attitude and project-oriented mindset to the forefront of innovation in our industry.

 

Essential Duties and Responsibilities:

  • Bring together organizational and analytical skills in a dynamic role that thrives on behind-the-scenes effectiveness.
  • Coordinate VP’s meeting schedule, ensuring alignment with key stakeholders on objectives, preparation, and follow-up actions.
  • Lead meetings and workshops with precision and detailed coordination.
  • Provide advanced secretarial support to the VP, managing daily calendars and orchestrating meetings with other leaders.
  • Acts as in independent voice to Executive Vice President and assist in facilitating effective decision making, coordinate strategic initiatives and manage leadership meetings, all-hands, actions, goals and in accordance with the strategic plan.
  • Proactively identify areas for organizational improvement and present actionable recommendations.
  • Offer expert guidance to department head to optimize team efficiency.
  • Skillfully resolve scheduling conflicts to alleviate pressure on executive leadership.
  • Oversee strategic business initiatives from inception to successful implementation.
  • Manage daily operations, coordinating projects and overseeing business administration.
  • Foster collaboration between Leadership admins to prioritize tasks on a weekly, monthly, and yearly basis.
  • Assess ongoing risks, deadlines, and critical decisions requiring focused attention.
  • Cultivate genuine partnerships across all brands, levels, functions, and sub-cultures.
  • Assist in VP & Europe Leadership Team internal communications, including memos, department updates, and presentations.
  • Promotes a collective understanding of our vision and strategy, with a focus on delivering next class of ships and supporting leaders to purposefully embrace innovative approaches to work.
  • Encourages collaborative thinking by facilitating the transformation of diverse perspectives into a unified team approach, leveraging the strengths of everyone.
  • Elevates leaders' perspectives and empowers project teams to effectively manage tactical work. Creates a smarter, structured, and fulfilling environment, emphasizing the importance of efficient calendar management and fostering a culture of continuous preparedness.

  • Exceptional interpersonal skills to interact with internal and external executives, peers, vendors, media, employees, etc.   
  • Must be able to maintain strict confidentiality and discretion in dealing with issues of business & personal nature.  
  • Ability to work effectively under pressure & manage multiple tasks and deadlines.  
  • Knowledge of budget administration, cost containment and basic financial principles.  
  • Advanced level of proficiency in MS Word, Excel, PowerPoint, and Lotus Notes.  
  • Exceptional expert level grammar, organizational and communication skills.  
  • Advanced skills in providing administrative and secretarial support to executives.   
  • Ability to work under autonomously to complete tasks and responsibilities.
  • Project management experience in planning, overseeing, implementing strategic initiatives, project coordination, budget management, and data analysis.
  • Exceptional administrative ability. 
  • Experience in organizing and directing multiple teams and departments.
  • Versatile abilities and extreme dedication to efficient productivity.
  • Understands the complexities of our organization.
  • Navigates complex organizational systems with organizational and political savviness; effectively applies levers for influence and change.

Qualifications:

  • 10 – 15 years of strategic experience performing advanced and high level of administrative support to senior executive level positions in medium to large corporations.
  • Bachelor’s degree required, MBA or similar preferred.
  • Experience in managing a complex work environment and driving cross-functional alignment across all levels of an organization.
