The Royal Caribbean Group’s Inside Sales Team has an exciting career opportunity for a full time Associate, GCC Operations reporting to the AVP, Consumer Outreach.
This position will work onsite from Florida.

This position requires a highly organized and proactive Operations Associate to provide essential support to our senior leadership teams and their respective departments within the Global Contact Centers. This hybrid role requires a dynamic individual with strong coordination skills, attention to detail and the ability to manage multiple priorities across teams. The ideal candidate will facilitate communication between departments and oversee logistical operations to enhance efficiency and effectiveness.
In this position the individual will have the responsibility to plan and execute all assigned GCC special events. This can include but is not limited to The Celebrity Way, Product Immersion program, Annual Global Summit, Bi annual leadership global site visits, Charity Fund Raising efforts etc. Events will span both internal and external activity, coordinating with Senior Management, shipboard personnel and land-based personnel. In addition, the individual will have responsibility to ensure effective planning of presentations, invites for all events and activities from creative stage to final execution.
In addition, this role will provide executive and administrative support to the GCC leadership team the individual will be required to compile reports and presentations; be the point of contact with external organizations and vendors. Attends to phone, file maintenance and daily calendar for all executive meetings, conferences and coordinates travel and completes travel bookings, prepares expense reports for executives.

Essential Duties and Responsibilities:
Departmental Coordination & Communication:
• Organize weekly staff meetings, take detailed notes, and distribute key takeaways.
• Maintain the CO Roster, tracking agent details such as system access, extensions, and team assignments.
• Ensure accurate maintenance of email distribution lists and shared email boxes.
• Act as a liaison between departments to ensure smooth operational workflows.
Event Planning & Travel Logistics:

Responsible for the project management and execution of events for the Global Contact Center organisation.

Plan and develop event programs, source venues and other event specifics, manage budgets accurately and other services according to the event requirements, i.e. accommodation, transfers, catering, Audio Visual, signage, displays.

Oversee planning of accommodations, transfers, catering, audio/visual, signage, displays, and more. Maintain records of all event aspects including financial details. Accurate budget management is essential.

Exercise creativity and decisiveness when planning special events.

Maintain ongoing communication and updates to the client/event owner.

Negotiate contracts with hotels, caterers, convention centers, etc.

Maintain records of all event aspects including financial details to ensure budget is not exceeded

Plan and execute employee events, including company-wide celebrations and team-building activities.

Compiling results from the employee recognition programs, managing awards, sales contest prize plus milestone anniversary celebrations.

Create and distribute monthly birthday and work anniversary announcements.
Global & Departmental Support

Provide strategic support to the GCC leadership team.

Manage calendars, schedule meetings, and coordinate logistics for executive engagements.

Arrange and confirm travel accommodations, including flights, hotels, and transportation.

Prepare and submit expense reports in compliance with company policies.

Order office supplies and materials for department and event needs.

Facilitate the onboarding process for new hires, ensuring timely equipment requests and system access.

Act as the liaison point for facilities team to accommodate departmental needs
Guest Mail & Outbound Agent Support

Manage the distribution of the guest mail.

Coordinating with outbound agents to ensure timely and accurate delivery
Qualifications, Knowledge and Skills:
-
H.S. Grad or equivalent required. Bachelor’s degree preferred; experience may be combined with some college education.

Must have excellent grammar and communication skills.

Strong interpersonal and organizational skills.

Strong common sense to handle strict confidentiality using discretion in dealing with issues of business & personal nature.

Experience to handle multiple tasks in a fast-paced environment as well as to work effectively under pressure.

Minimum three to five years of experience performing broad coordination activities to support executive roles.

Experience in medium to large corporations.

Basic financial knowledge to perform responsibilities related to cost control to budget administration.

Good knowledge of organization, policies & practices.

Excellent verbal and written communication skills.

Strong interpersonal skills to interact with executives, peers and employees.

Advanced level of proficiency in MS Word, Excel, PowerPoint, Tungsten and Lotus Notes.
