Specialist, Shorex Setup
POSITION SUMMARY
The Specialist, Shorex Setup is responsible for the setup, coordination, and maintenance of tours and excursions in the booking system. This role ensures all tour-related data, including pricing, schedules, and promotions, are accurately loaded and updated. The Specialist will work closely with various departments to deliver exceptional excursion experiences.
ESSENTIAL DUTIES AND RESPONSIBILITIES
System Setup and Maintenance:
• Create and maintain tour details in the reservation and management system, including ongoing updates and maintenance.
• Build and quality-check new excursions, including adding new destinations and activities.
• Upload and update price grids, promotional offers, and savings programs.
• Ensure all tour-related data, including schedules, prices, and promotional offers, are accurately entered and maintained in the reservation system.
• Update penalty and fee tables; add products and supplements to all tours.
• Upload and manage changes to tour schedules, including changes in pricing, inventory, departure dates, locations
• Update of all processes related to the booking and reservation systems for tours and excursions.
Collaboration and Communication
• Work closely with the shorex, marketing, sales, and customer service teams to ensure all tour information is current and accurately reflected in promotional materials.
• Support the manager in liaising with the internal technical team to enhance aspects of the reservation and management system and provide input on the development of necessary functionalities.
Quality Assurance
• Execute quality assurance practices to ensure correct package creation, pricing, costs, and inventory for tours and excursions.
• Monitor daily system reports to identify urgent product matters and take appropriate action.
• Conduct regular audits to ensure compliance with safety regulations and company policies.
Special Projects and Problem-Solving
• Responsible for the delivery of special projects such as new tour launches and promotional offerings.
• Address and resolve any issues that arise during the setup process or execution of tours.
• Implement contingency plans to handle emergencies and unexpected situations smoothly.
Support on Reporting for Analysis
• Generate and maintain standardized files to ensure efficient access by all team members.
• Assist management with analyzing pricing and the feasibility of extending or creating new promotional offers.
• Align with other teams to implement necessary changes to offerings based on itinerary changes.
QUALIFICATIONS, KNOWLEDGE, AND SKILLS
• No need of higher education
• Average Excel and pivot knowledge
• Big plus knowledge of PowerQuery and PowerPivot
• Minimum of 2 years of experience in tour operations, travel planning, or a similar role.
• Strong organizational skills.
• Proactivity in solving issues when arising
• Proficiency in using booking systems and database management tools.
• Attention to detail and a commitment to delivering high-quality work.
• Ability to work flexible hours, including weekends and holidays, as needed.
• Willingness to travel occasionally for site inspections
