Coordinator, Entertainment and Enrichment Operations
Overview of Role:
This position contributes to the accomplishment of the Entertainment department through administrative processing in the coordination of shipboard entertainers and enrichment lecture personnel. The Coordinator will oversee and process all travel and logistic needs for the department.
Key Responsibilities:
- Books travel arrangements for all Guest Status Entertainment and Enrichment personnel and ensures the most affordable rates / best possible routing are obtained at all times.
- Organizes transfers, hotels, and other logistical arrangements to ensure on-time arrival for all Entertainment and Enrichment personnel.
- Coordinates daily travel updates between vessels and entertainment department staff.
- Arranges any emergency travel for Guest Status Entertainment and Enrichment personnel, communicates arrangements to vessels and port agents when needed.
Processes all department invoices through the accounting system (Navision) and processes for payment with Miami accounting, including verifying and coding. - Ensures that any chargeable airfares or upgrades are correctly charged, monies collected and accounted for correctly, and any refunds and reimbursements have been processed correctly.
- Ensures all pre-required visas are detailed in advance to all Guest Status Entertainment and Enrichment personnel.
- Prepares CTR schedules for upcoming voyages 12-18 months in advance.
- Prepares and sends all pre-cruise documents to vessels, including voyage reports for each cruise, listing all pertinent details of shipboard entertainment personnel and entertainment programs.
- Assists with documentation and coordination of production casts.
- Assists in onboard decorations for special events.
- Other duties as assigned.
Job Requirements and/or Qualifications expected:
- High school diploma plus two years’ additional education
- Two years’ related business experience, preferably shipboard.
- Full professional proficiency in MS Office package in Excel, Word, Power Point, Notes and Outlook and Intermediate skills in Access and Visio
- Good knowledge of world geography
- Must be detail-oriented and have strong organizational skills.
- Good interpersonal skills and ability to tactfully deal with internal and external contacts.
- Understanding of travel restrictions, including international visa & inoculation requirements, and procedures for obtaining.
- Ability to work in a fast-paced environment.
- Must be self-motivated and able to take own initiative.
