Analyst, IT Asset Management

Position Summary:

The IT Asset Management Analyst is a key member of the IT Asset Management Operations team, focused on ensuring the delivery/accuracy of enterprise IT Software assets and the effective use of enterprise licensed software.

 

The Asset Management Analyst will be responsible for the lifecycle of software assets including, inventory, assignment, RMA, recovery, and disposal; tracking and maintaining a database of software purchases and warranty/maintenance agreements; maintaining an accurate collection of process and procedure documentation; and working with System Admin Manager on product roadmaps and vendor discussions.

 

The Asset Management Analyst will be required to maintain effective communication with business partners as well as corporate vendors, and therefore will require skills for relationship management, collaboration, and attention to detail, customer service and negotiation

 

The IT Asset Analyst will assist in the implementation of Hardware / Software Asset Management in Service Now. The analyst will be responsible for creating HW/SW Workflows, Hardware Inventory processes, and compliance. This role will also be assisting with the processes and compliance around Enterprise Software (Entitlements vs Consumption).

 

Essential Duties and Responsibilities:

  • Receiving and processing purchase requisitions for software/ hardware using an ERP system.
  • Collaborating  with Supply Chain members on status of open orders.
  • Responsible for the software asset lifecycle, including inventory, assignment, RMA, recovery, and disposal.
  • Coordinate with corporate partners on software modernization and verification efforts; work with Supervisor and Manager on product roadmaps and vendor discussions.
  • Maintains an accurate software asset inventory using approved systems, including regular audits of physical and digital assets, harvesting software licenses using Azure, ServiceNow, Microsoft, etc.
  • Maintain an accurate collection of process and procedure documentation.
  • Build and maintain asset management database; Manage license distribution for supplemental systems (Smartsheet, Microsoft, Adobe, etc.)
  • Performs periodic analysis of active users to process license renewals.
  • Build relationships between assets and business services in the CMDB.
  • Explore opportunities for maximizing or exploiting unused or partially used IT assets to achieve full efficiency and ROI from company resources
  • Create and publish monthly status inventories and usage positions, to include global IT assets
  • Ensure that the system and processes provide insight into compliance and key dates of licenses, warranties, maintenance agreements, and vendor contracts
  • Assist Procurement in negotiating licensing agreement
  • Monitor and analyze trends in company spending and inventory control to make recommendations for the future, and to identify areas for possible savings and/or asset optimization
  • Ensure that all IT asset life cycle-related costs and risks are correctly identified through metrics and published status reports, while enforcing mitigation and remediation activity
  • The position supports the entire Royal Caribbean Group organization including all brands. 
  • The position will work closely with Procurement and Supply Chain

 

 

Qualifications:

  • High school degree or GED is required.
  • Technical school or Associates degree (AA) is preferred
  • 2+ years experience with ServiceNow IT Asset Management and Software Compliance Processes

 

Knowledge and Skills:

  • Strong understanding of Microsoft Excel and ServiceNow reporting functions
  • ServiceNow or Flexera experience preferred
  • ITIL Foundations Certification preferred.
  • Ability to interpret contract terms and conditions in licensing details including third party restrictions, platform and location restrictions, multiple core counts and other technical options.
  • Ability to read and interpret technical documents and effectively present information for one-on-one and small group situations
  • Understanding of ITIL framework or service management practices regarding incidents and requests
  • Understanding of financial systems for quotes and ordering of assets
  • Strong customer/team interaction skills
  • Good verbal and written communications skills.
  • Detailed oriented.
  • Ability to multi-task in a fast-paced environment.
  • Ability to work independently and comprehend issues involving little to no concrete variables in non-standard situations as well as problems that are undocumented.
