Royal Caribbean Group’s Workplace Solutions Team has an exciting career opportunity for a full time Coordinator, Facilities reporting to the Senior Manager, Facilities Management.
Position Summary:
The incumbent manages and coordinates all the requests that come into the Help Desk and the scheduling system. Interacts continuously with employees, thereby serving as the first impression for anyone with a facilities need. The ideal candidate is detail-oriented, customer-focused, and able to work efficiently in a fast-paced environment.
Essential Duties and Responsibilities:
- Opens, assigns, ensures completion, and closes work orders in the Facilities electronic work order system. Provides written status of projects and requests through e-mail system. Resolves minor issues submitted via Work Order System or telephone and escalates to supervisor when needed
- Process and manage room booking requests through the designated scheduling system.
- Maintain an accurate and up-to-date record of room reservations and availability.
- Coordinate with internal departments and external clients to ensure appropriate room assignments.
- Address any scheduling conflicts and propose alternative solutions when needed.
- Ensure rooms are properly set up and equipped according to the booking requirements.
- Communicate room policies and guidelines to users.
- Assists with last minute changes, cancellations, and urgent booking requests.
- Generate reports on room usage, occupancy rates, and other key metrics.
- Provide excellent customer service and assist with inquiries.
- Contacts company personnel at all organizational levels to gather information and define their facilities needs. Responds to maintenance requests and identifies problems/solutions.
- Receives employee requests and relays to appropriate staff to address. Coordinates and checks progress of maintenance projects by interacting with in-house staff, contractors, and/or building landlord. Maintains relationship with relevant company personnel to track and ensure resolution of any assigned tasks
- Coordinates weekly or monthly schedule for of pest control, parking lot sweeping, carpet cleaning, ETC
- Prepares and distributes contractor weekend schedule
- Maintains a running inventory of flags, batteries, pest control supplies, easels, office supplies, Orders janitorial paper products and soap
- Keeps logs for loaned projectors, furniture keys, power strips, easels, etc.
- Keeps a log of all displayed posters and marketing materials in the building lobbies
- Coordinates room set ups with appropriate staff for meetings and various functions and events
- Provides clerical support to facilities team as needed (answers calls, takes messages, assists with events, etc.) Handles a high volume of telephone calls. Receives and distributes incoming mail
- Organizes and coordinates department clean-up and de-clutter activities with internal departments
- Supports Sr. Facility managers creating Requisitions for purchasing goods
- Supports Sr. Facility managers reconciling invoices for payment
- Works with JDE in the creation of PO’s for purchasing goods
- Assists in space planning audits
- Implements and complies with all Facilities programs and policies

Qualifications:
- Requires a high school diploma/GED
- 5+ years of customer service experience in a facilities or maintenance role.
- Preferably Bilingual English/Spanish
Knowledge and Skills:
- Requires strong verbal and written communication skills.
- Requires excellent customer service skills
- Proficient in Microsoft office products
- Self-motivated with the ability to work on projects with little or no supervision, relying on pre-established guidelines
- Team player with positive attitude to challenge
