Position Summary:

Coordinates all pre-cruise events in port of calls for the fleet for Hotel Operations as assigned by Manager. Responsible for overseeing destination event process and local venue applications for Hotel Operations as assigned by Manager.  Also serves as the primary shore side contact for Onboard Coordinator and is responsible for problem resolution and support. Event Specialist ensures all shoreside services are requested and confirmed prior to sailing and supports travel partner/ guest and shipboard team with amendments and revisions of existing onboard arrangements. Services bookings as needed and ensures that all amenities, services, and packages are up to date on reservation. Looks for areas of opportunity to cross-sell amenities and/or experiences to guests/trade to make the guest’s experience as special as possible.

 

Essential Duties and Responsibilities:

  • Oversee all aspects of the event process from initial contact to post-cruise.
  • Acts as main point of contact for Guests and/or Travel Partners requesting information on: Ship Specific- itineraries, local venue availability, capacities and measurements, alternate functions, date, time and advises Guests and/or Travel Partners in need of support in the event planning aspects of their program.
  • Hosts consultations with Guests and/or Travel Partners to discuss current packages available, the type of event desired, and guest budget.
  • Responsible for securing the local venue space for assigned events.
  • Liaison with multiple local vendors: Entertainment, Food & Beverage, Rentals, Decor, etc. to provide best possible customized shoreside experience while planning event.
  • Finalize detailed event reports with Guests in a timely manner.
  • Conduct final amenity reviews at prelim and voyage sailing reports to ensure accuracy and provide necessary feedback to ships and necessary shoreside areas before and after each sailing.
  • Schedules and completes regular conference calls with the Onboard Coordinator(s) to review upcoming events and ensure seamless delivery of promised programs.
  • Responsible for completing introductory calls and/or video conferences to all events booked to clearly explain expectations and prevent miscommunications between Royal Caribbean Cruise Line and Guests and/or Travel Partners.
  • Addresses and resolves problems, complaints, and requests by phone or through written correspondence according to response guidelines and Quality Assurance metrics.

  • Understand the use of a CRM system and apply its tools within everyday workflow.

 

Qualifications, Knowledge & Skills:

  • Bachelor’s degree (BA) from a four-year college or university and one year of related experience; or an equivalent combination of education and experience required.
  • Excellent multi-tasking, problem-solving, organizational, and time management skills required.
  • Exceptional communication and customer service skills required.
  • Detail-oriented, methodical, and creative.
  • Proficient in all Microsoft Office applications
  • Two years of experience in Hotel Event Planning or Group Coordination required.
  • Preferred CRM experience.
  • While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee is occasionally required to stand, walk, and reach with hands and arms. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus.
  • Ability to make decisions in situations where multiple variables and tight deadlines exist, assess complex situations, and make mutually beneficial decisions where limited standardization exists, and assess the most complex and non-routine situations.
  • Ability to work, interact and communicate with external/internal customers at all levels. Must build and maintain successful business relationships with external customers as well as co-workers to successfully service their needs.
  • Ability to write reports, memos, and business correspondence. Ability to read and comprehend complicated instructions, short correspondence, memos, and procedure manuals. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization also required.
