This position will be working onsite from Miami.
Position Summary:
The Sr. Specialist, Global Charter Operations, provides administrative, systems, financial tracking, and program support across the charter lifecycle. The role strengthens accuracy, process compliance, and business continuity by maintaining charter setup, inventory, documentation, reporting, and data, while enabling Account Executives to focus on client-facing and higher-complexity operational responsibilities. The Sr. Specialist may travel and support or oversee a charter when assigned.
Essential Duties and Responsibilities:
- Create and maintain charter groups, inventory, stateroom allocations, system records, trackers, folders, and reference documentation in accordance with approved processes.
- Prepare and maintain invoices, payment schedules, financial trackers, charter checkbooks, supporting documentation, and status reporting for review by the Account Executive and leadership.
- Support contract administration by organizing executed agreements, extracting key dates and obligations, and maintaining accurate program records.
- Coordinate manifest administration, including initial uploads, changes, cancellations, cabin moves, guest data corrections, watchlist follow-up, and exception tracking.
- Support site inspections, pre-sailings, meeting-space requests, travel logistics, visitor requests, early boarding lists, and operational documentation.
- Maintain AffairWhere and related financial or operational systems with accurate charter details, contracted amenities, master account items, and reconciliation support records
- Compile reports, approvals, invoices, voyage documentation, guest feedback, and other source materials required for post-sailing reconciliation and lessons learned.
- Monitor program milestones and follow up on missing information, approvals, payments, documentation, and action items; escalate risks to the Account Executive or manager.
- Travel for site inspections, pre-sailings, client meetings, or charter sailings; support or oversee a charter when assigned and within role readiness.
- Perform other duties as assigned in support of Charter Operations and CMIC priorities.
Qualifications, Knowledge and Skills:
• Bachelor’s degree preferred, or equivalent relevant experience in operations, hospitality, travel, events, finance administration, or program coordination.
• Minimum 2-4 years of relevant coordination, administrative, cruise, hospitality, group travel, or event operations experience preferred.
• Strong organizational skills, attention to detail, follow-through, and ability to maintain accurate records across multiple programs.
• Proficiency with Microsoft 365 and comfort learning enterprise reservation, financial, workflow, and reporting systems.
• Clear written and verbal communication skills and a service-oriented approach with internal and external stakeholders.
• Ability to handle confidential financial, contractual, and guest information appropriately.
• Ability to prioritize deadlines, identify discrepancies, and escalate issues in a fast-paced environment.
• Ability to travel, including shipboard assignments and international travel, as business needs require.
