Sr. Project Associate

Position Summary:

This incumbent is responsible for project management support by assisting multiple Project Managers in the coordination and management of key functions of development and execution of Newbuilds and Revitalization Projects.  This position is a key player in consulting with the department’s clients (Brands, PDT, Finance Design, Operations, Ship, Mission Control, etc.) to gather, analyze, organize, and present to Project Managers critical information required to ensure successful and efficient project management process.  This position will also develop strong relationships with external partners, such as trade partners and external consultants. The Newbuild Project Specialist will be responsible for communication and support of strategic alignment between segments of the entire global corporation to achieve program targets and timelines by driving processes, initiatives, facilitating information and planning. Manage all aspects of project coordination including planning, tracking, and status reporting. 

 

Essential Duties and Responsibilities:    

  • Assist the assigned Sr. PM with post-delivery Newbuilds’ Technical projects, inclusive of commissioning, risk assessments, planning, manning, both on-site and from Miami office.
  • Newbuilds post-delivery liaison between Onboard Team, Shipyard, and New Build Department (Design, PDT, Finance, Technical).
  • Owners Work Claim Actioning & Remedy Execution.  This includes leading confirmation of warrantee scope, obtaining contractor acceptance and/or estimations.  Analysis of contractor estimations, consequent negotiations, issuance of PRF.  Ensure of final contractor costs are within the financial budget.  Finalize remedy and ensuring successful execution via planning, preparation and onboard team alignment.
  • “Top 5” Claims Meeting Organizer & New Build Leadership Liaison
  • Project management coordination and support the development, tracking/monitoring and reporting of several small, medium, large size projects.
  • Administrates team meetings (attendees, agenda, and official minutes) and drafts reporting of project status for executive review.
  • Provide input on project planning methods and tool usage to project participants to standardized reporting methodologies.
  • Plans, coordinates and structures project management workshops, ensuring clear objectives are established, stakeholder involvement is secured, and agreed-upon deliverables are met.
  • Develops a strong knowledge of all tools and resources used by the department; including, but not limited to: video conference, conference calls, conference room technology, tablets & computers, document sharing, etc.  Helps to teach others to use these tools; as well as, uses knowledge to set up meetings & events
  • Responsible for all presentation documents required by the department in support of project management meetings and status reporting. Will be responsible to distribute drafts and collect information from multiple departments and external suppliers, analyze and organize this into a clear and meaningful presentation under the guidance of the Project Managers.
  • Assist in setting up, maintaining and supporting access to the department web-based document management system Sharepoint and DocuSign, as required by Project Managers.
  • Expert in the department of I95 project management tools and responsible for making sure all project stakeholders are using the systems properly.
  • Communicates effectively with outside vendors/contractors to ensure contracted deliverables are met in a timely fashion.
  • Provides assistance in special projects and assignments as directed by the project managers.
  • Supports project teams in collection of quantitative/qualitative statistics, performs basic numerical analysis (financial, statistical).
  • Consolidates meeting minutes and structures them into actionable items and deliverables.  Helps to update and maintain project/program action logs.  Periodically follow up with action item owners, ensuring their signed commitments, to evaluate current progress and drive tasks to completion.
  • Supports project teams in collection of quantitative/qualitative statistics, performs basic numerical analysis (financial, statistical).

Financial Responsibilities:

  • Assists Project Manager in the coordination required for the creation of the project budget matrix. Solid understanding of budget matrix principles.

 

 

Qualifications:

  • Bachelor’s degree or equivalent in Business Administration, Industrial Engineering or similar field required.
  • 5-6 of experience in projects administration required.
  • 4 years in an office administration required.
  • Cruise industry experience preferred
  • Equivalent combinations of education and experience may be considered.

 

Knowledge and Skills:

  • Solid written and verbal communication skills a must. Clear and precise communication at all levels of the organization essential.
  • Knowledge of effective communication for providing customer and personal service to internal and external groups, such as shipyards, vendors, customers, Revenue Management, Marketing, Groups/Sales, Corporate Communications, Operations, Safety, Security, Medical & Public Health and international site offices.
  • Excellent interpersonal skills, strength in communicating in a multicultural environment with all levels of employees and management.
  • Ability to apply analytical, financial, conceptual and strategic thinking to objectives, proposals and performance.
  • Ability to multi-task in a fast-paced environment.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions. 
  • Ability to read, analyze and interpret contracts, procedures, financial reports, legal documents, and government regulations.
  • Intermediate Proficiency in MS Word, Excel, PowerPoint, Visio, and Project required. Familiarity with email and internet applications.
  • Excellent administrative, organizational and presentation skills.
  • Ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from management, co-workers, customers, vendors, shoreside and shipboard employees.
  • Internal Candidates:  Knowledge of CAR process: budget, approval, reconciliation, and reporting, Niku, BOX, SQM filing system, DocuSign.

 

 

Physical Demands & Work Environment

  • The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job. The environment includes work inside/outside the office, travel to other offices, travel domestic and international for long durations, and work onboard during projects. Work in shipyards during project executions with very basic accommodations. A high noise level is possible if visiting shipboard or offsite locations.
  • The employee is occasionally required to walk to the dock, ascend and descend the vessel. Visual requirement include distant, close and color vision, and ability to adjust focus.
