Specialist, Entertainment Activities Schedule Admin Youth Support

The Royal Caribbean Group’s Entertainment Team has an exciting career opportunity for a full-time Specialist, Entertainment Activities Schedule Admin Youth Support reporting to our Senior Manager, Adventure Ocean & Family Strategic Operations.

 

Position Overview

 

The core function of this role would assist all scheduling specialists and entertainment activities casting specialist and senior specilialist with necessary database and document retention for all front of house Entertainmnent activities scheduling positions 1800+. This position is critical in allowing the schedulers to be able to curate teams by taking the administrative duties from them to be able to build the perfect demographic and complex shipboard teams.

 

  • Responsible for updating and projecting the shipboard manager(s) such as but not limited to: Adventure Ocean Manager, Assistant Adventure Ocean Manager, Traveling Adventure Ocean Manager, Sports Manager, Traveling Sports Manager, Sports Supervisor, Lead, Sports Staff – iFLY and Traveling iFLY Trainer in E1 (JD Edwards) and assisting with staff projections when needed.
  • Will have an understanding and access to TMS (Technical Management System) for Entertainment Activities Positions for projection and contract offers.
  • Be able to cover the scheduling and casting team in their duties when needed (for vacation, extended time off, weekend or holiday coverage, etc).
  • Responsible for booking all manager handover cabins through the EMS (Entertainment Management System) and/or ECC cabin request.
  • Will be point of contact for mass email influx of fleet communication via the Entertainment Activities Scheduling inbox.
  • Responsible to check the email inbox daily and distribute inquiries to pertinent schedulers for follow up.
  • Responsible for entering necessary Fleet Visitor Requests for incoming shipboard Adventure Ocean Managers and Sports Managers (including Traveling Managers) via the FVR system.
  • Support with FVR needs for vendor and shoreside Youth, Familiy & Sports team.
  • This role will submit travel requests where needed via Crew Travel for manager flight / hotel request and will facilitate flight requests via Concur for Youth and Sports vendors without Concur access.
  • Responsible for creating and updating Standard Operating Procedures (SOPs) and SQM for the Youth, Family and Sports team as it pertains to all Policies, Procedures and be able to update and submit SQM updates in the system.
  • Assist Youth, Family and Sports team with Homeport, sharepoint updates for Youth & Sports pages with pertinent information as needed.
  • Responsible for new vendor set ups for the Youth, Family & Sports Team via the APEX system.
  • Working along side and be able to assist the schedulers: Specialist, Entertainment Scheduler – Youth, Specialist, Ent Scheduler – Sports, Senior Specialist, Ent Act Casting & Recruitment and Specialist, Ent Activities Casting & Recruitment.
  • Compile various staffing level reports and submissions as needed by the Youth, Family and Sports team such as: Kronos reporting, par level reports, seasonal par level requests, par level increase requests, newbuild or revite par level adjustments, etc.
  • Travel and attend recruitment, job sourcing fairs at colleges and HR events to attract talent for all 480 front-of-house teams as needed to support the Ent Activities Casting and Recruitment team.

Qualifications and Education

  • Bachelor’s degree in business administration or related field from an accredited college or university preferred.
  • Two or more years of experience in one or more of the following functions: work force planning, scheduling, recruitment, operations and/or logistics services preferred.
  • Casting and recruitment experience desirable
  • Excellent interpersonal and communication skills while being able to multitask and problem solve
  • Proficient written and verbal communication skills.
  • Computer skills required: knowledge of Microsoft office suite, Excel, Word, Power Point, Outlook, Teams, One Drive, Sharepoint, Smartsheet, TMS - Technical Management System, internal scheduling tool, E1 and more

 

Financial Responsibilities

 

Participates in development and operational oversight of annual recruiting budget (480 Employee Education).
