Royal Caribbean Group’s Facilities team has an exciting career opportunity for a full time Receptionist reporting to the Facilities Senior Manager

 

Key Responsibilities

  • To work at the front desk and handle both front desk duties and support internal departments. 
  • Greet visitors and assists guests that are here for an appointment.  
  • Act as receptionist, answering written and verbal requests and inquiries for routine information, receiving telephone and personal callers and routing them to the proper employees. Take messages and provide to the appropriate employee.  
  • Receive and distribute incoming and outgoing mail. Open, sort, and route mail. Assist with bulk mailings.  
  • Compose and send routine acknowledgements or selects simple form letters in response to routine inquiries.  
  • Set up and maintain simple files. Assist in preparing and administering office accounts and records. Enter, update, and retrieve information stored in files and databases.   
  • Schedule and coordinate meetings and appointments. Maintain office calendar.  
  • Coordinate the use of the conference rooms making sure they are always clean and organized.  
  • Support office by using automated equipment such as facsimile machines, personal or networked computers and printers, copy equipment, voice messaging and electronic mail systems, and telephone equipment.   
  • Attend training, seminars and workshops as deemed necessary.  
  • Screens incoming calls and routes them to the appropriate extensions.
  • Ensures all visitors sign in using the visitor log and are issued a visitor badge. Announces guests upon arrival.
  • Grants access to approved users of the Visitor Parking Lot and monitors usage to ensure only visitors are admitted. Directs employees to designated employee parking areas.
  • Maintains a tidy and welcoming reception area, ensuring literature is organized. Reports any issues to the Facilities Help Desk.
  • Coordinates with the Facilities administrative team to maintain and update relevant information in databases (e.g., SharePoint).
  • Reports any observed violations of company Rules and Regulations.
  • Is familiar with fire alarm system operations and promptly reports all incidents to Security and Facilities.
  • Provides support to the Sr. Facilities Manager as needed.

Qualifications and Education

  • Work requires general knowledge of organization and involves basic support or production of high volume telephone service.
  • Work involves operating within well defined procedures and instructions.
  • Working knowledge of office practices, procedures, and equipment; ability to produce documents using automated equipment and office software; ability to file documents.
