PMO Manager, Worldwide Port Operations

Position Summary:

The PMO Manager, Worldwide Port Operations, leads the department's administrative, strategic, and project management efforts and prioritizes/monitors tasks related to executing and implementing a broad agenda. Responsible for internal/external department communication; development and tracking department performance (KPI/SLAs); document management, including contract support; managing various projects concurrently, including new terminal development; supporting field operations as needed. And other various administrative duties (including research and analysis) and functions as assigned. The role is best suited for a self-directed, resourceful person with broad experience.

 

Essential Duties and Responsibilities:

  • Develop and disseminate a department communication plan targeting internal and external stakeholders. 
  • Oversee reporting of operational information to Department leadership. 
  • Create messaging and hold training sessions for vendors and partners related to operational and financial policies and procedures.
  • In collaboration with Shared Services and Department Leadership, create, track, and report on KPIs/SLAs on a monthly/quarterly/annual basis. Includes overseeing the collection and distillation of data to produce results for reporting.
  • Lead the department's document management processes in compliance with company policies and for document production and retention.
  • Collaborate directly with field Managers and Legal to draft, review, and modify existing or new vendor or port contracts.
  • Collaborate directly with the department's Compliance team to prepare and perform scheduled or ad hoc audits.
  • Lead and support various projects, particularly terminal development, while representing department interests
  • Develop processes, and collect, analyze, and interpret data.
  • Plan, coordinate, and support quarterly/annual meetings and events for department resources globally.
  • Plan, coordinate, and support bi-weekly/monthly meetings and events for Miami based department.
  • Support field operations as needed at various ports globally.
  • Manage all port vetting and preparation tasks and serve as the point of contact for new ports. 
  • Source predetermined port data and document in a central repository.
  • Liaise with Newbuild/Commercial Development/Marine/Risk Management and other business units regarding port infrastructure, ship operations, future & current port development.
  • Provide reports to management on port preparedness and viability.
  • Lifecycle management of shoreside port structures (i.e., preventative/conditional maintenance of gangways, fenders, bollards, piers, floating piers, etc.)
  • Serve as the primary point of contact for the business regarding any future projects requiring Port Operations input
  • Manage any terminal/facility construction projects falling under Port Operations responsibility
  • Liaise with various internal departments (IT, GPS, Global Security, Digital) to ensure business requirements are met in new terminal constructions
  • Contribute and support the creation and management annual operating Port Operations budget. 
  • Support financial performance management vs. Plans and Forecasts for operations and G&A.
  • Make recommendations to meet or exceed targets.
  • Participate in the analysis and development of accurate forecasts for all expenses associated with Port Operations.
  • As needed, respond to a crisis involving ship operations including, but not limited to, hurricanes, OPP outbreaks, legal situations, and significant guest satisfaction issues. Participate in the planning and execution of crisis response plans as part of the response team. Often involves interacting and briefing senior executives and participating in the situation room.
  • Identify and enact process improvement, process automation, and the creation of a department knowledge base to improve operational efficiencies and controls.

 

Qualifications, Knowledge & Skills:

  • Minimum of 7-10 years of experience in operations (preferably maritime) and project management setting
  • A Bachelor's Degree and five years of elated experience in operations, project management, or process improvement are required 
  • Direct experience leading projects of varying degrees of size and function
  • Ability to communicate, support, and work with a very diverse cross-cultural team (internal and external)
  • Five years of successful people management experience  
  • Strong written skills required  
  • Must possess exceptional interpersonal and communication skills to communicate with all levels of employees, management, vendors, and government authorities.
  • Capable of making independent decisions that impact Port Services and one of its business units.
  • Experience in negotiations and contract management.
  • Ability to develop, plan and organize tactical plans utilizing project management principles.
  • Accepts accountability and manages the execution of individual and team results.
  • Demonstrates a wide degree of creativity with strong analytical and problem-solving skills
  • Excellent communication skills and a good controllership mindset
  • Ability to build and maintain successful business relationships throughout the department and the company
  • Strong understanding of metrics and how to measure performance
  • Ability to communicate tactfully with department heads, managers and coworkers to resolve problems and negotiate resolutions
  • Experience in leading or directing the work of department staff
  • Ability to manage a staff positively and productively by motivating, developing, and managing employees as they work.
  • Ability to utilize and administer the disciplinary action process through coaching and counseling to improve performance or terminate employment
  • Excellent verbal and written communication skills, including technical and business writing required.
  • Knowledge and extensive experience in accounting and other financial/analytical systems (i.e., JD Edwards, Hyperion, Excel).
  • Excellent graphics, spreadsheet, and database skills including, multiple spreadsheets, linking, macros, pivots and database functions
