Position Summary:

This position is responsible to understand current business practices and work collaboratively with internal stakeholders to identify opportunities for improvement as it relates to the Safety ManagementSystem tools and information. The position is responsible to identify trends, strengths, and opportunitiesto ensure continuous improvement in our policies and procedures as it relates to the Safety Management Systems.

To accomplish this task, the individual must not only have a comprehensive knowledge of shipboard operations and shoreside support functions, but also a thorough understanding of the various aspects of our management system and the practical application on a daily basis, for both ship and shore. This role is also responsible for proactively identifying, monitoring and analyzing new regulatory/external stakeholder requirements and assisting with the development of the business impact analysis. Serves as project management (PM) lead for safety and compliance initiatives that require resource investment or actions via active collaboration with other internal stakeholders, and accountability standards as directed.

This role may at times provide insight as directed on FOCUS and work groups and support agenda items by providing historical insight from past investigations or audits, port state control inspections or other relevant inputs in collaboration with those subject matter experts. Provide oversight and monitor fleet for leading indicators related to compliance to inform data driven decisions on resources for audits and investigations.

In a PM role, is responsible for being the Maritime Safety Compliance & Regulatory Affairs Department representative on current and future efforts around management systems process improvement and data collection collaboration within Safety Security & Environment as directed. Responsible for managing department strategic metrics and corporate incident and audit KPIs and presenting updates to the leadership as directed.

 

Essential Duties and Responsibilities:

  • This position will assist subject matter expert(s) for the RCG incident and reporting tracking database system(s), currently SeaEvent, and the subcomponents, which may include but is not limited to, maintenance of workflows, guidance documents, policies, and procedures.

  • Monitors the effectiveness of the incident and reporting tracking system and makes recommendations to brand/ department management for improvement.

  • Monitors incoming incident and audit data for accuracy and completeness as it relates the Corporate KPI process.

  • Collaborates with the Marine Ops, Hotel Ops, and Shared Services Departments to continually improve the trending and analysis provided to the ships. Provides structured reports and graphed data to the different Brands as needed. 

  • Reviews the quality of compliance reports, specific to ship self-reporting, to ensure accurate classification. Makes corrections and edits, as necessary.

  • Strategically develops the Executive Dashboard as well as the Departmental metrics/KPIs as well as recommends metric/audit efficiencies and suggests enhanced IT system applications to the team and VP.

  • Maintains the Compliance Report function within the incident and reporting tracking system by monitoring incoming requests for updates, to participating in user testing for enhancements. 

  • Helps maintain the Company’s SMS (SQM, intranet, team rooms & Lotus Notes) as it relates to SQM. (Such as O&Ts for various stakeholders, as well as any required documentation.)

  • Leads, directs, and provides guidance to stakeholders regarding the tools and software used to record and maintain audit and inspection data.

  • Remains current with industry trends and best practices to conceive and recommend technical system solutions to the auditing team.

  • Support as needed training for all newly appointed SQM Editors corporate wide (including overseas offices) on the established procedures to edit their designated manuals.

  • Keeps department/company apprised of pending updates to regulations, Class requirements, Flag and Port state requirements, and external stakeholder policies (i.e. CLIA). Identifies impact to operations and compliance and helps formulate strategies to incorporate required changes into SMS.

  • As directed, facilitates cross department and collaborative projects with internal stakeholders as project manager. Helps establish goals and objectives with relevant team members, sets up timelines and milestones and keeps project on track.

Qualifications, Knowledge and Skills:

  • 5+ years’ experience working with shoreside and shipboard operations. 

  • Bachelor’s Degree in Business studies Engineering or Computer Science, Minimum 

  • Subject matter expertise in analysis and requirements gathering process, testing, tools, and best practices

  • Demonstrate a certain degree of creativity with strong analytical, and problem-solving skills

  • Proven ability to collaborate across organization and ships.

  • Capable of working independently with minimal supervision. May lead or direct the work of others

  • Strong with methodologies, tools, best practices, and processes within specific area of responsibility

  • Excellent interpersonal skills to communicate in a multicultural environment with all levels of employees and management. 

  • Ability to work in a fast-paced environment with multiple projects and priorities. May be required to travel.

  • Ability to write reports, business correspondence and procedures manual with the appropriate attention to detail

  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. 

  • Ability to use PowerPoint, Excel, Word tools at an advanced level and knowledge of Tableau, PowerBI or similar analytics tools preferred. 

  • Ability to calculate figures and amount such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
