Coordinator, Sales Administration

POSITION SUMMARY:

 

Responsible for the day-to-day maintenance of our Travel Partner & District Sales Managers Databases (Tri branded role).  Changing, new adds, updates, to over 25,000 plus travel partners.  Maintain all National Accounts agencies.  Review and Audit all Commissions within our travel agency community. 


ESSENTIAL DUTIES AND RESPONSIBILITIES:


1.    Administering maintenance changes to the 25,000+ Travel Partner (TP) database which includes setting up of new TP's, affiliation changes, TP contact information, commission levels, Field Mgr/TP assignments, mergers, dissolutions, etc.
2.    Maintain National Account hierarchy/relationship levels for Common Ownerships, HQ/Branch Roll ups, Alt Hierarchies, linking, etc.
3.    Administer the transfer of bookings from Cruise Vacation Planner to TP's assuring all control requirements/credentials are in accordance with our policies
4.    Execute, Audit & Analyze the automated monthly override and manual retro commission processes.
5.    Act as Liaison with Accounting & TP's on the year end 1099 process which involves developing and maintaining query reports as back-up support to issued 1099's
6.    Participates in the testing of new system enhancements/functionality
7.    Acts as Liaison with the Legal Department on TP related fraud cases

QUALIFICATIONS:

 

  • Associates or Bachelor's degree preferred
  • 3 to 5 years administrative experience required


KNOWLEDGE AND SKILLS:

 

  • Strong knowledge of Colonial (Reservation) system 
  • Intermediate user on MS Office products (Excel, Access, PowerPoint, etc). 
  • BRIO experience preferred  
  • Seas

The environment includes work inside/outside the office or travel to other offices.  A high noise level is possible in the office, if visiting shipboard or offsite locations.
