Position Summary:

The Executive Assistant provides high-level administrative support to senior executives, ensuring seamless coordination of daily operations, communications, and strategic initiatives. This role is responsible for managing complex calendars, scheduling meetings and travel, preparing reports and presentations, and handling sensitive correspondence. The Executive Assistant serves as a key liaison between executives, internal teams, and external stakeholders, maintaining professionalism and confidentiality at all times. 

 

Essential Duties and Responsibilities:

  • Manage daily calendars for senior executives, including scheduling meetings, coordinating appointments, and resolving conflicts. 
  • Organize and coordinate executive attendance at conferences, meetings, and events as well as organize internal All Hands, Team Buildings, & event planning.  
  • Handle general inquiries from internal executives and external vendors with professionalism and discretion. 
  • Draft and edit complex, non-routine communications and reports, including those containing sensitive financial data. 
  • Assist in preparing presentations and materials for board and executive committee meetings; coordinate board member communications and logistics. 
  • Compile and analyze data for executive reports and distribute materials to board members as needed. 
  • Monitor and manage administrative budgets, including supplies, telecommunications, and other general expenses, ensuring cost containment, visibility, and accountability across leadership teams. 
  • Conduct research and analysis for executive projects; oversee communications and reporting, and support other administrative staff with complex tasks. 
  • Coordinate all travel arrangements for executives, including flights, hotels, car services, meeting logistics, and itineraries. 
  • Prepare and submit travel expense reports; review invoices and support MAC requests. 
  • Provide administrative support to other executives within the team as needed, including calendar and travel coordination. 
  • Assist with various business unit projects, including status reporting and presentation development. 

Perform other duties and special projects as assigned.

Qualifications, Knowledge and Skills

  • High school diploma or equivalent required; bachelor’s degree preferred. Equivalent experience combined with college coursework may be considered. 
  • Minimum of 5–7 years of experience providing advanced administrative support to senior executives in large corporate environments. 
  • Exceptional verbal and written communication skills, with strong grammar and editing abilities. 
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with Lotus Notes is a plus. 
  • Strong interpersonal skills with the ability to interact effectively with executives, peers, and employees. 
  • Demonstrated ability to manage multiple tasks and deadlines under pressure. 
  • Proven discretion and ability to handle confidential business and personal information. 
  • Experience in budget oversight and project management is highly desirable. 
  • Strong organizational and analytical skills, with attention to detail and accuracy. 
  • Ability to work independently with minimal supervision and exercise sound judgment. 
  • Familiarity with organizational policies, practices, and executive-level operations. 
  • Bilingual English/Spanish preferred. 
  • Excellent interpersonal skills to communicate in a multicultural environment with all levels of employees and management. 
  • Self-driven to continually improve and actively work to bridge gaps in their knowledge in order to add more value to a particular project or setting.
