Analyst, Community Engagement

We work with local governments, tourism businesses, communities, and our guests to understand needs and desires as we collectively celebrate new cultures and destinations.

Reporting to the Manager of Community Engagement, this position will play a key role in supporting the execution of Government Relations and Community Engagement global stakeholder ship tours. The contractor will support the implementation and management of company-developed ship events ensuring that Royal Caribbean Group is visible in the community. The role requires effectively communicating with community stakeholders, government officials, and tourism businesses. Keen attention to detail is critical to this role. 

Key Responsibilities:

 

  • Work with the regional Corporate Affairs representative to finalize the destination stakeholder list to ensure accurate contact information for each stakeholder.
  • Generate and manage all correspondence with event attendees (internal & external), including distribution of invitations to stakeholders and being the main point of contact for questions and support.
  • Manage RSVP list and collection of necessary security details needed to board our ship(s). Confirm guest details are captured accurately before submitting final manifest.
  • Provide weekly RSVP status updates for Corporate Affairs representatives to ensure they have most accurate list of event attendees.
  • Close out manifest and provide final list to Corporate Affairs and partner agency.
  • Upload security details manifest to the Fleet Visitor Request (FVR) system.
  • Create a run of show for each ship event and circulate with internal stakeholders.
  • Work in conjunction with the Community Events Sr. Specialist to support onboard planning, as needed.
  • Responsible for developing and planning ship events, including schedule, activities, and collecting security details. Collaborate with external organizations and internal stakeholders to produce an impactful event. Accountable for providing expert consultations to ensure all project deliverables are met effectively.
  • Design ship event programs that cater to diverse guest preferences and event goals and objectives.
  • Create and maintain run of show and schedule that maximizes guests’ engagement and time onboard.
  • Ensure all ship events comply with company policies and do not interfere with safety regulations (crew drills).
  • Working with the Creative Hub to ensure all promotional invitations, forms, and activities align with the ship’s branding guidelines.
  • Create and manage event budget, ensuring cost effectiveness. 
  • Liase with vendors and suppliers for ship event services.
  • Work with both external and internal stakeholders to promote event to guests through various channels.
  • Coordinate guest invitations and RSVPs.
  • Manage communications with guests before, during, and after events.
  • Coordinate rehearsals, when appropriate, to ensure smooth schedule.
  • Ensure all necessary security details are collected and submitted in a timely manner.
  • Quickly address and resolve any logistical issues that arise before and during event such as security clearance.
  • Work with Corporate Communications to develop marketing strategies to promote ship events such as press releases, photo releases, and social media posts.
  • This role involves executing actions that ensure project success, while also contributing to effective reporting and collecting images for storytelling.
  • Keep detailed records of event logistics for future reference.
  • Manage log of all events and impact data needed for the community impact report.
  • Arrange transportation for internal stakeholders executing event, when necessary.
  • Gather feedback and evaluate the success of events for future improvements.
  • Work closely with wide range of external and internal stakeholders to ensure seamless event execution.
  • Continuously seek new ideas and trends to enhance the event experience.
  • Train volunteers on event procedures and standards.
  • Perform any additional ad hoc project management and support for special requests. Accountable for providing expert consultations to ensure all project deliverables are met effectively

 

Education & Qualifications:

  • Bachelors with 2-3 years' experience in a related field
  • Excellent verbal and written communication skills 
  • Excellent organizational, project management, time management skills and ability to think creatively.
  • Ability to manage multiple projects and tasks efficiently
  • Strong interpersonal skills and skills in working effectively with diverse groups and fostering cooperative relationships
  • Comfort and proficiency in speaking to groups and presenting information clearly
  • Strong initiative and customer service orientation
  • Proficient in Microsoft Office Suite, specifically in Excel (CVS files), Microsoft Forms, SharePoint
  • Ideal knowledge of Fleet Visitor Request system and Shipboard Function Form
  • Bi-lingual: English and Spanish
  • Demonstrate initiative to contribute to the success of the team and organization
